GrossIQ’s privacy practices for dealership users, customers, prospects, recordings, transcripts, AI processing, data sharing, security, retention, and user rights.

GrossIQ (“GrossIQ,” “we,” “us,” or “our”) provides an AI-powered sales intelligence platform used by automotive dealerships to record, transcribe, and analyze sales conversations. This Privacy Policy explains what information we collect, how we use and protect it, and the choices available to you.

This policy applies to our web application, our mobile companion application, and our website at grossiq.io (collectively, the “Services”).

Who this policy covers

The Services are used by dealership personnel (salespeople, managers, and administrators) and capture information about the customers and prospects they interact with. This policy describes our practices for both dealership users — the individuals who hold GrossIQ accounts — and customers and prospects — individuals whose conversations with dealership personnel are recorded and analyzed through the Services.

GrossIQ acts as a service provider to dealerships, who are responsible for their own use of the Services and their own privacy obligations to their customers.

Information we collect

Account information. When a dealership creates an account for a user, we collect the user’s name, email address, role, and store assignment. Passwords are managed through our authentication provider and are never stored in plain text.

Customer and deal information. Dealership personnel enter information about customers and prospects, which may include name, phone number, email address, co-buyer details, vehicle interest, trade-in details, and deal notes.

Audio recordings and transcripts. When a recording session is started, audio of the sales conversation is captured and processed to produce a written transcript and AI-generated analysis. See “How we handle recordings” below.

Usage and technical information. We collect limited technical data necessary to operate and secure the Services, such as authentication tokens, session activity, and timestamps.

How we handle recordings

Recordings are central to the Services, and we handle them with care. Audio is not stored on GrossIQ’s servers — it is processed in real time to generate a transcript and discarded after transcription. We retain the resulting text transcript and analysis, not the audio. Audio processing is performed by a third-party transcription provider, which deletes audio within 24 hours. Transcripts and analysis are used solely to provide the Services — coaching, deal intelligence, and reporting — to the authorized dealership.

How we use information

We use the information we collect to provide, operate, and maintain the Services; transcribe conversations and generate sales coaching, deal summaries, and reporting; authenticate users and secure accounts; support and communicate with dealership users; and improve the reliability and performance of the Services.

We do not sell personal information, and we do not use customer conversations to train third-party AI models for purposes unrelated to providing the Services.

AI processing

GrossIQ uses artificial intelligence to analyze transcripts and generate summaries, coaching notes, and deal intelligence. AI analysis is performed by a third-party AI provider. Transcripts are sent to this provider solely to generate analysis for the authorized dealership and are not used to train its models for purposes unrelated to providing the Services.

Service providers

We share information with a limited set of trusted service providers who process data on our behalf, under contractual confidentiality and security obligations. These include providers for cloud hosting and database infrastructure, speech-to-text transcription, AI processing, authentication, and email delivery. We maintain a current list of specific sub-processors and will provide it to dealership customers on request.

How information is shared

Information is accessible within a dealership to authorized users according to their role and permissions. We share information with service providers as described above. We may disclose information if required by law, regulation, or legal process, or to protect the rights, safety, and security of GrossIQ, our users, or the public. Information may be transferred as part of a merger, acquisition, or sale of assets, subject to this Privacy Policy. We do not sell personal information or share it for cross-context behavioral advertising.

Security

We apply administrative, technical, and physical safeguards designed to protect information, including encryption of data at rest (AES-256) and in transit (TLS 1.3), role-based access control with multiple permission levels, complete data isolation between dealerships enforced at the database level, automatic session expiration after a period of inactivity, and hosting on cloud infrastructure providers that maintain SOC 2 Type 2 compliance. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Recording and consent

Dealerships are responsible for obtaining any consent required by applicable law before recording a conversation, and for disclosing recording to customers as required. GrossIQ is designed to support recording disclosure at customer check-in. Dealerships are responsible for complying with the recording and consent laws of the jurisdictions in which they operate.

Data retention

We retain transcripts, analysis, and account and deal information for as long as needed to provide the Services and as required by our agreements and applicable law. Audio is not retained beyond the real-time transcription process. Dealerships may request deletion of their data as described below.

Your choices and rights

Depending on your location, you may have rights regarding your personal information, such as the right to access, correct, or delete it. Because GrossIQ provides the Services on behalf of dealerships, requests from customers and prospects are generally directed to the dealership that collected the information. Dealership users and dealerships may contact us using the details below to make a request.

Children’s privacy

The Services are intended for business use by dealership personnel and are not directed to children under 16. We do not knowingly collect personal information from children.

International users

GrossIQ operates in the United States, and information is processed and stored in the United States. If you access the Services from outside the United States, you understand that your information will be processed in the United States.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
